NCA training refunds policy

  • National Children's Alliance (NCA) may establish a deadline by which participants must cancel their registration to be eligible for a refund. This deadline is typically set before the start date of the training program and allows NCA to manage their resources effectively.
  • The amount refunded to participants who cancel within the specified deadline may vary. In some cases, participants may receive a full refund of the program fee, while in others, a partial refund may be issued, with a portion of the fee retained to cover administrative costs or other expenses incurred by NCA. The typical deadline shall be as follows unless outlined and communicated at the time of the training announcement.
    • Full refund if cancellation is made within sixty (60) days prior to the training.
    • Partial (50%) refund if cancellation is made within thirty (30) to fifty-nine (59) days prior to the training.
    • No refund if the cancellation is made less than thirty days prior to the training.
  • NCA typically outlines the timeline for processing refunds, including the expected duration for funds to be returned to the original payment method used by the participant. In certain circumstances, such as medical emergencies or other extenuating circumstances, NCA may make exceptions to their refund policy. 

Cancellation policy

  • National Children’s Alliance reserves the right to cancel any training program due to unforeseen circumstances, including insufficient enrollment, instructor unavailability, or other factors beyond our control.
  • In the event of cancellation by the National Children’s Alliance, participants will be notified promptly, and a full refund of the program fee will be issued.
  • The following terminology shall be used on any training provided by NCA:

"National Children's Alliance reserves the right to cancel any training program due to unforeseen circumstances, including but not limited to insufficient enrollment, instructor unavailability, venue unavailability, or other factors beyond our control. In the event of cancellation, registered participants will be notified promptly, and efforts will be made to offer alternative dates, locations, or refunds. NCA shall not be held liable for any costs incurred by participants, including but not limited to travel expenses, in the event of program cancellation."

Participant substitution policy

  • If a registered participant is unable to attend the training program, they may request to substitute another individual in their place.
  • The training organizer shall assess the request for substitution and determine whether it can be accommodated based on factors such as program capacity, eligibility criteria, and any specific requirements for the training.
  • The registered participant requesting the substitution shall provide information regarding the substitute participant, including their name, contact information, and any relevant qualifications or affiliations.
  • Should the substitution request be approved, the requester shall be notified, and the training organizer shall update the registration records accordingly. The substitute participant is then officially registered for the training program in place of the original participant.
  • If there are any differences in program fees or payment arrangements between the original participant and the substitute participant, adjustments may need to be made. This could involve refunding any overpayments made by the original participant or collecting additional fees from the substitute participant.
  • Denied substitution requests shall be in writing and within five (5) business days of the submitted request.

Transfer of registration policy

  • Transfer of registration involves the process of transferring a participant's registration for a training program to another session or location offered by NCA.
  • A registered participant who is unable to attend the originally scheduled training program may request to transfer their registration to an alternative session or location that better suits their availability or needs.
  • A registration transfer must be submitted no later than two (2) weeks prior to the scheduled start date of the original training.
  • The training organizer shall assess the request for transfer of registration and determine whether it can be accommodated based on factors such as program capacity, eligibility criteria, and any specific requirements for the training.
  • The registered participant requesting the transfer shall provide information regarding the new session requested including the date, time, and location of the training.
  • Should the transfer request be approved, the requester shall be notified, and the training organizer shall update the registration records accordingly.
  • If there are any differences in program fees or payment arrangements between the original training and the alternative training, adjustments may need to be made. This could involve refunding any overpayments or collecting additional fees.
